Case study · In-house brand

eFiling Ready: data checked at the source.

We designed, built and run eFiling Ready: a document-preparation service for US importers facing CPSC's electronic certificate filing, with a plain-language website, a customs-broker partner program and a portal where every value traces back to a page.

What you can hire us for: regulated-industry websites and document workflows where every number needs a source and an approval.

01 / The problem

A new filing rule, and data scattered everywhere.

What US importers were facing when we started.

Since 8 July 2026, certificate data for most CPSC-regulated products that must be certified is filed electronically with each entry, and foreign-trade-zone entries follow on 8 January 2027. The certificate and the filed data must agree.

In practice the information sits in lab reports, emails and spreadsheets in every format. Importers and their brokers need someone to read it all, find the gaps and hand over clean, checked data, without pretending to be a broker or a lawyer.

  • 01Explain the requirement in plain language, with a link to official guidance.
  • 02Offer fixed prices an importer can approve quickly.
  • 03Say clearly where our work stops: no filing, no testing, no legal advice.
  • 04Tie every prepared value to the file and page it came from.
  • 05Give customs brokers a white-label way to use the service.

02 / What we built

A service, a partner channel and a review portal.

All of it built around one idea: show the source.

Plain-language website

The rule, the deadlines and the process explained without jargon, with official guidance linked.

Three fixed-price services

Quick Check, Certificate Preflight and Compliance Desk, each with turnaround and deliverables on the page.

Sample report

A sample gap report shows exactly what a client receives before they order.

Customs-broker program

A partner page for brokers: white-label preparation behind them, clear limits and a free pilot.

Client portal

Requests, document upload, review, deliverables, messages and invoices for each importer.

Source-linked review

Each value sits next to the PDF page it came from, with the reviewed value and notes.

Staff workspace

Projects, review queue, supplier requests, clients and billing in one place.

Event emails

Welcome, files-received and review-request emails, each saved event sent once.

03 / Workflow

From scattered documents to an approved package.

Every value is a draft until a person checks it against its source.

Architecture: importers or brokers send documents through the portal; values are extracted as drafts, checked against their source page, gaps are resolved, the client approves, and a broker-ready package is handed off.CLIENTImporter or brokerCertificates, test reports,SKU lists in any formatFRONT DOORefilingready.comFixed-price services, guides, broker programINTAKEClient portalRequests, documentupload, messagesPREPAREExtractionSoftware-assisted,every value a draftCHECKSource-linked reviewEach value tied to itsfile and page, versionedRESOLVEGap reportMissing or conflictingdata, supplier requestsAPPROVEClient approvalThe importer stays thecertifier and approvesHANDOFFBroker-ready packageRegistry file andhandoff sheetArchitecture, stacked: Importer or broker, efilingready.com, Client portal, Extraction, Source-linked review, Gap report, Client approval, Broker-ready packageCLIENTImporter or brokerCertificates, test reports,FRONT DOORefilingready.comFixed-price services,INTAKEClient portalRequests, document upload, messagesPREPAREExtractionSoftware-assisted,CHECKSource-linked reviewEach value tied to itsRESOLVEGap reportMissing or conflictingAPPROVEClient approvalThe importer stays theHANDOFFBroker-ready packageRegistry file and handoff sheet

05 / Review portal

Every value, next to its source.

Implemented in our test build. Not legal advice.

Source-linked reviewThe redesigned review workspace, built and tested on fixture documents marked as test data. Clients sign in to the live portal at portal.efilingready.com.
  • Source on screenThe PDF page and the value being checked sit side by side in a built-in viewer.
  • Drafts until checkedExtracted values stay drafts until a reviewer confirms them; client approval is separate.
  • Version and provenanceEach published version records who published it, when, and from which files.
  • Internal notes stay internalTeam notes are never shown to the client.
  • Emails sent onceEach saved event has a unique key, so a retry never emails a client twice.
  • Guarded deploysBackups, a checksum guard against overwriting a hotfix, syntax checks and a dry-run mode.

The importer remains the certifier and approves every record. We do not file entries, classify goods, test products or give legal advice.

06 / Decisions

Choices that build trust in a regulated market.

What a buyer can ask us about.

01

Responsibility in writing

Where our work stops is on the homepage, the broker page and in the portal, not hidden in terms.

02

Evidence over assertion

A value without a source page does not leave the workspace.

03

Fixed prices

Per-SKU packages and a monthly desk make the decision simple for an importer.

04

A channel, not just a site

Brokers can put the service behind their own brand, with a free pilot to start.

05

Shared portal, separate brand

Built on the same portal code as ClearLayer Access, switched by brand configuration.

06

Safe to change

Deploys back up code and data, refuse to overwrite unexpected server changes and run checks first.

07 / Timeline

Researched, named and launched in days.

Then deepened with a redesigned portal.

  1. Brand and domain

Market researched, name chosen, domain registered.

  2. Website and portal

Public site, fixed-price services and client portal built.

  3. Broker channel

Customs-broker partner page with white-label terms and a free pilot.

  4. Portal redesign

Source-linked review, PDF viewer and event emails built and tested on fixtures.

  5. Operations

Quick Checks, preflights and broker pilots handled by the team.

08 / What it shows

What this project proves for your build.

The same skills, applied to your product.

  • Turning a new regulation into a clear, buyable service
  • Document extraction with human review
  • Audit trails: sources, versions, approvals
  • Partner and white-label channels
  • Client portals with signed-in uploads
  • Careful copy for compliance buyers

How we would run your build: a free call, then a written scope with a fixed price or monthly rate, weekly progress updates, independent QA before launch, and a full handover of code, documentation and access. See how we work →

eFiling Ready is an in-house brand designed, built and run by Arcvane Labs. It is not commissioned client work, and we show no client names, user counts or revenue. Portal screens use test fixtures. Not legal advice.
